Delta Sports Coaching Ltd – Terms & Conditions
1. Booking & Payment
All bookings must be made through our official website or authorised agents.
Payments must be made in full at the time of booking through Class 4 Kids.
We operate an early bird rate, standard rate, and premium rate. Prices increase as the camp date approaches to encourage early booking and support accurate staff deployment.
2. Cancellations & Refunds
Cancellations must be made in writing at least 5 days before the camp start date to receive a partial refund.
No refunds will be issued for cancellations made within 2 days of the camp start date.
If Delta Sports Coaching must cancel a camp due to unforeseen circumstances, a full refund will be provided.
3. Medical Information & Consent
Parents/guardians must provide full medical details, including allergies, dietary requirements, and any medication their child is taking.
By booking, parents/guardians consent to emergency medical treatment if required.
4. Behaviour & Conduct
Children must follow camp rules and behave respectfully at all times.
Behaviour System
Warning – Staff will speak to the child about their behaviour.
Time‑Out – If behaviour continues, the child will be temporarily removed from the activity.
Parent Notification – Persistent issues will result in removal from the session and parents/guardians being contacted.
Participation Expectations
Include everyone – No child should be isolated.
Respect peers and staff – Regardless of age, gender, ability, race, cultural background, religion or sexual orientation/identity.
Wear suitable sports clothing.
Be friendly and welcoming, especially to new participants.
Respect equipment and belongings.
Follow staff instructions at all times.
No bullying, inappropriate remarks, violence, aggression or bad language — including online.
No disruption of any Delta Sports Coaching activity.
5. Liability
Delta Sports Coaching is not responsible for personal belongings lost or damaged during camp.
6. Photography & Media
We require full and explicit consent to take photographs or video recordings of children under 18.
Consent may affect which activities a child can participate in.
Parents may take photos/videos only of their own child. Any images containing other children must be deleted and must not be shared unless permission is granted by those children’s parent/guardian(s).
7. Data Protection
Personal information collected during booking is used solely for camp administration and will not be shared with third parties without consent.
8. Late Collection Fees
Parents/guardians must collect children promptly at the end of the camp day.
A late fee of £5 per child for every 5 minutes after the first 5‑minute grace period will be charged.
Repeated lateness may result in the child’s place being reconsidered.
9. Settling‑In Policy
To ensure a smooth, safe and positive start to each camp day:
Welcome & Check‑In – Staff will greet families and confirm contact details and key information.
Parent Support During Drop‑Off – Parents may accompany their child to place bags in the cloakroom and help them settle.
Once settled, parents are expected to leave so staff can begin the day safely and maintain correct supervision ratios.
If a child is distressed, upset or unable to settle, and cannot join activities, parents will be advised to take them home.
This prevents disruption to the group and ensures staff‑to‑child ratios remain safe.
Children may return another day if they need more time to adjust.
10. Changes to Terms & Conditions
Delta Sports Coaching reserves the right to update these Terms & Conditions at any time. Any changes will be communicated to parents/guardians in writing.
